How to Get Your Medical Elective Signed Off

Before you travel, most medical and nursing schools require your elective to be formally approved and, afterwards, signed off. Requirements are set by your university — working to GMC standards for medicine and NMC standards for nursing and midwifery. Here’s what they typically ask for, and the documentation Med Trips gives you to make approval straightforward.

What universities typically require

  • A minimum placement length (often 2–8 weeks) within set dates.
  • A named clinical supervisor at the host hospital or clinic.
  • Confirmation of supervised clinical learning and, for nursing/midwifery, that hours meet NMC expectations.
  • Travel, medical and indemnity insurance appropriate to the destination.
  • Learning objectives aligned to your curriculum.
  • A risk assessment and evidence the provider manages safeguarding.

GMC and NMC: what each expects

Medicine (GMC). Medical students aren’t registered with the GMC until they graduate, so your medical school approves and signs off your elective, working to GMC education standards. They’ll want to see supervised clinical exposure appropriate to your stage of training and clear learning outcomes.

Nursing & midwifery (NMC). If your elective needs to count toward NMC-required practice hours, check with your university first — supervision must meet NMC expectations (a suitably qualified practice supervisor) and hours must be verifiable. Even where it doesn’t count for hours, most schools still require formal approval.

How to get your elective approved — step by step

  1. Check your school’s elective policy early — note deadlines, minimum weeks and paperwork.
  2. Choose a placement that matches your specialty and stage of training.
  3. Request confirmation documents from your provider (host site, supervisor, dates).
  4. Submit for approval to your elective coordinator with your learning objectives and insurance.
  5. Arrange sign-off — confirm who signs your logbook or elective form at the host site.

Frequently asked questions

Does my elective need to be signed off before I travel?

Approval usually needs to be granted before you travel, while sign-off (confirming you completed it) happens during or at the end of the placement. Check your school’s deadlines early — some require approval months in advance.

Who signs off my medical elective abroad?

Your named clinical supervisor at the host hospital or clinic completes any logbook or elective form, and your university’s elective coordinator gives final approval. Med Trips arranges the supervisor and provides the confirmation your university needs.

Will a Med Trips elective count toward my NMC practice hours?

It depends on your university’s rules. Confirm with your practice-learning team before booking — we can provide the supervision and documentation details they need to decide.
